Director of Finance and Operations JOB OVERVIEW: Aspen Center for Environmental Studies (ACES) seeks an experienced professional to join our team as full-time Director of Finance and Operations to lead, manage and direct all aspects of organizational finance and business operations. Reporting to the CEO and serving as an integral member of the senior management team, the Director will be responsible for the development of ACES' financial management strategy and contribute to the development of the organization's strategic goals. The Director will be charged with developing and implementing policies and procedures both in the finance and general operational realms, including support in human resources. This is an outstanding opportunity for a finance professional with operational experience and a proven track record of creative problem-solving and change management to join a mission-driven organization. About ACES: ACES is a nonprofit environmental science education organization comprised of roughly 40 employees. We have three locations: Hallam Lake, Rock Bottom Ranch, and Catto Center at Toklat. Since 1968, ACES has inspired a life-long commitment to the earth by providing innovative and immersive programming for all ages. Our programs focus on ecological literacy, regenerative agriculture, forest and ecosystem health, land restoration, and environmental leadership. ACES works to contribute to a national agenda for increased environmental awareness. Our programs reach over 140,000 individuals every year. We teach daily in schools from Aspen to Rifle, provide kids camps, adult classes, guided hikes and field programs for all ages. ACES also works diligently to directly affect climate change education, awareness and action, as well as action on other current environmental issues. We also engage our community by hosting public lectures and events. ACES collaborates with land trusts public agencies, and other nonprofits to achieve our mission. Primary Duties and Responsibilities: The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. Financial Management --- Oversee all organizational financials including financial planning, budgeting, cashflow, andpertinent policy matters --- Serve as the management and financial liaison to the board, its finance committee, the external audit team, and donors, and effectively communicate and present financial matters at select board and committee meetings --- Contribute to the development of ACES' strategic goals and objectives --- Prepare monthly financial statements for operating and capital budgets --- Oversee and implement payment of all expenses and income including payroll using Quickbooks --- Plan, coordinate, and execute the annual budget process and long-term financial planning --- Prepare and maintain all necessary documentation and work with external CPA to complete federal 990, financial statements, and annual compliance audit --- Serve as ACES liaison with Endowment Fund board and provide financial assistance as needed including: maintaining income and expenses, preparing monthly financials, and communicating with investment account representatives --- Provide assistance to the development team in tracking grants and ensuring they are properly documented and dispersed Operations Management --- Oversee the implementation of capital campaign facility improvement projects --- Promote a culture of high performance and continuous improvement that values learning and a commitment to quality --- Improve and innovate administrative and operational accounting services such as grants processing, payroll, accounts payable, and purchasing --- Upgrade and implement an appropriate system of policies, internal controls, accounting standards and procedures --- Oversee the procurement and implementation of medical insurance, liability insurance, workers' compensation insurance, and Simple IRA --- Supervise employee housing program and associated agreements, policies and protocols --- Maintain current LLC and 501c3 documentation with the Secretary of State --- In consultation with HR, maintain and administer personnel management programs encompassing all functional areas of staff relations including recruitment, selection and hiring of staff in conjunction with department heads --- In consultation with HR, administer and negotiate benefit plan renewals for medical, dental, retirement, disability, supplemental insurance, retirement, PTO program, sick leave, FSA and EAP --- In consultation with HR, ensure staff members receive timely and appropriate training and development --- In consultation with HR, revise and interpret personnel policies including procedures set in the employee handbook, housing manual, and risk management manual --- Promote team building, communication, and leadership throughout the organization. This may include leading the organization's culture initiatives as well as diversity, equity and inclusion initiatives --- Perform other duties as assigned, required or requested DESIRED QUALIFICATIONS: --- Business, finance, or accounting degree mandatory, a master's in business administration is preferred --- Minimum five years of experience in a management role ideally with either external audit or in-house financial management, reporting, accounts payable, payroll and general ledger experience --- Experience with nonprofit finance and accounting regulations --- Proficient in accounting software --- Knowledge and expertise of personnel recruitment, selection, training, compensation and benefits administration --- Excellent written, oral, interpersonal, and presentation skills, comfortable with public speaking and effectively interfacing with senior management, Board members and staff --- Must have exceptional time-management skills to manage projects on a tight timeline with a high level of attention to detail, quality, professionalism and teamwork --- Flexible, collaborative, and proactive; a team leader who can positively and productively impact both strategic and tactical finance and administration initiatives --- A key attribute of the director is that they must be self-motivated, internally driven and able to problem-solve and make decisions that balance input from the senior management team while moving tasks forward in an efficient and expeditious way --- Must maintain a high level of integrity and professionalism when dealing with ethical and legal situations and be able to maintain strict confidentiality --- Passion for ACES' mission of "educating for environmental responsibility" Physical Requirements: --- Ability to conduct activities involving moderate standing, walking, and substantial sitting --- Ability to lift boxes weighing 25 pounds --- Ability to hear and respond to phone calls and conversations --- Ability to work at a desk for prolonged periods of time Environmental Conditions The majority of this position duty is performed within an indoor, office environment Reporting Relationships This position reports to the CEO of ACES Location This is a full-time (40 hours/week), year-round position based at Hallam Lake, Aspen, Colorado Benefits and Compensation The salary range for this position starts at $80,000; pay is dependent on skills and experience.
