Job Description:

Provides a wide variety of administrative duties for the department and to the director. Completes and maintains records and compliance related to facility policies, state regulations, personnel issues, and resident files. Works with hospital departments and vendors to ensure Whitcomb Terrace needs are met. Works with the director to supervise the day-to-day activities of the facility to ensure staff are following their established job descriptions and department needs are met.
Provides administrative support to the manager and the department. Is proficient in using the computer and writing/creating documents per needs and requirements. Maintains proper records for all files, updating and organizing as needed. Performs clerical and administrative duties as assigned and as needed. Assesses residents for changes in condition and implements proper interventions. Performs all resident care as assigned and as needed. Maintains and updates residents' medical charts. Corresponds with physicians as necessary. Maintains & updates residents' Care Plans as needed. Participates as a team member in helping to maintain the physical, social and psychological environment conductive to the resident's welfare and best interest. Works with manager to coordinate and complete all details of admissions, transfers, and discharges as needed. Understands, follows, remains informed about, and creates/maintains policies per State of Colorado regulations. Maintains highest level of confidentiality regarding patients, physicians, co-workers and business-related contacts. Creates and updates the staffing schedule. Ensures that a sufficient number of staff are available for each shift. Arranges substitute staff as needed. SERVICE EXCELLENCE/CUSTOMER SERVICE Demonstrates purposeful service excellence through exceeding patient and coworker expectations. Represents the department/hospital as a dedicated, courteous, and responsive employee. COMPLIANCE WITH RULES, REGULATIONS AND POLICIES Creates, maintains, and records pertinent documentation in accordance with assisted living specific regulatory requirements, professional standards and hospital policy. Adheres to federal, state and hospital rules and regulations concerning HIPAA privacy and security. Follows/supports/creates/maintains department compliance plans/requirements/manuals, Hospital compliance plan and policies, including the Code of Conduct. Participates in required training for compliance related activities (CDPHE, HIPAA, Compliance, Patient Safety, TJC, etc.) UNIT SPECIFIC DUTIES & RESPONSIBILITIES / DAY TO DAY OPERATIONS Administers and documents medications accurately and timely, according to physician's orders. Assists in preparing, ordering meds for following week Performs various office duties as directed, including distributing departmental mail/memos, ordering office supplies & equipment, initiating repair requests, creating/ copying/distributing reports, inventory & purchase requisitions, etc. Takes, transcribes, & distributes minutes of meeting & files appropriately. Produces general administrative communications & material for manager's approval, including correspondences, policies & procedures, job descriptions, memos, etc. Creates & edits materials as needed. Reviews & screens visitors & phone calls; exercises prudent judgment in assisting or appropriately directing same; records messages. Places calls as required & responds to phone or personal inquiries/requests in a courteous & knowledgeable manner. Conducts facility tours for prospective tenants. Responsible for miscellaneous projects, such as updating manager's calendar, scheduling meetings, arranging travel accommodations, scheduling & following up on interviews. Assists manager in personnel decisions, including recommendation for hiring, training, motivating, disciplinary action and dismissal. Ensures personnel follow their respective job descriptions, follow safety rules and regulations, directs care procedures, care plans and physician orders. Reports and discusses any building, staff, or resident problems to the Director and reports any need for further equipment or training. Documents information in resident records and appropriate logs. Completes accident/incident reports as needed. Notifies family members of change of condition of a resident. Oversees cleanliness of medication/staff room and maintains appropriate medications on hand. PROFESSIONALISM Demonstrates responsibility and accountability for own professional decision making and professional growth. Participates and contributes to departmental meetings and activities. Completes required training in assisted living and resident care specific needs. Completes and maintains QMAP, First Aid/CPR/AED certificate. EDUCATION/EXPERIENCE REQUIREMENTS College degree strongly preferred. 2-3 years of experience in related field preferred. RN or care field administrative experience preferred. KNOWLEDGE AND SKILL REQUIREMENTS Strong passioni for serving the elderly community is absolutely required Ability to concentrate and show attention to detail required Relatively high degree of analytical abilities required Strong interpersonal skills required Ability to work independently LANGUAGE SKILLS Ability to read, write, and communicate effectively in English WORKING CONDITIONS Normal patient care environment with little exposure to excessive noise, dust and temperature May be exposed to communicable diseases through normal or careless performance of responsibilities May be exposed to mechanical dangers associated with mechanical devices May be exposed to stressful situations
