From our kitchens to our cellars, with their 20,000 bottles of wine, from the Concierges in our lobby to the Concierges on our mountains, and from family adventure to aprs ski, this hotel is, guests have said, "the Aspen of Aspen."Job DescriptionSummary Responsible for purchasing, receiving or giving direction to others to purchase or receive all materials, products and services for the hotel with the exception of food and wine.Essential Duties Works directly with Aspen Skiing Company Director of Purchasing to establish company-wide contracts. Designs and implements hotel purchasing policies, procedures and strategies. Supervises and provides functional direction to assigned personnel in achieving the above objectives Prepared annual budget for the Purchasing Department Develops annual purchasing objectives for directly supervised materials, products and services with the goal of reducing costs and improving service to internal customers Searches applicable markets for best sources. Evaluates requests for quotation on materials, products, and services for hotel management. Prepares hotel specifications and uses competitive bidding in negotiating to achieve the best value for hotel purchases Maintains, selects and removes vendors from the approved vendor list in conjunction with hotel senior management. Establishes and maintains effective communications with hotel department heads. Edits and reviews all contracts prior to approval by hotel General Manager Responsible for data entry and management including purchase orders and receiving logs. Responsible for inventory of stock in general storeroom (paper supplies and printed materials) and prepares purchase orders from inventories. Maintains a log of all purchase orders issues and the assigned vendors. Files all purchase orders and receiving records Assume duties of receiving clerk on his/her days off Assist in month-end inventories Participates in quarterly linen, china, glass, and silver inventories and coordinates orders with Director of Food & Beverage Maintains perpetual inventories on high volume operational supplies Keeps all files current Responsible for the cleanliness of the loading dock, dumpster, and receiving areas as well as ensuring traffic control outside these areas Coordinates off site storage and participates in hotel storage reviews Produces a daily Receiving Log and distributes to appropriate managers Responsible for sending and receiving FedEx or UPS packages fro hotel staff and guests. Able to operate FedEx computer. Forwards bills of all guests UPS and FedEx daily to the Concierge Desk and distributes arriving packages as soon as they are received Oversee receiving of Sundeck and Aspen Mountain Club items Takes initiative in researching new items and ideas for hotel management. Ensures receiving staff fills and delivers beverage requisition daily. Works alongside purchasing agents in the AM, assisting with daily delivery and putting items away Inspects all storage locations to ensure product is being placed and rotated correctly Compares Invoice to product received for quantity, product, and quality Communicates with Culinary and F team of any shortage, damaged, or refused items and makes plan to re-fill immediately Tracks all items coming in and ensures they are attached to a PO and Invoice If invoice not present with item follows up with vendor to obtain invoice Will send detailed list of any items without invoice at month end, along with PO, to the department head to accrue the amount Keeps excel spreadsheet of all PO and their status, i.e. ordered, shipped, estimated arrival date, tracking, etc. PO's are processed within 48 hrs of receipt from department Is flexible to working mornings, nights, weekends, as the operation demands Actively manages ChefTech and keeps the system clean and functional Assist the F team in Food and Beverage inventories.Additional Job Duties: Make Assistant General M aware of guest's complaints and comments Report to work in a neatly groomed and acceptable manner as outlined in the Employee Resource Guide Report to work on time Comply with all policies and procedures for the Purchasing Department, The Little Nell and Aspen Skiing Company. Be familiar with hotel fire and safety procedures. Assist in emergency and security procedures as directed by Management. Complete tasks and projects delegated by Management and assist other departments as business and staff levels demand.This role typically pays around $55,000, actual pay will be dependent on budget and experience, all our salaried roles are eligible for bonus.Qualifications High school graduate, B.S. or B.A. in business or purchasing preferred Must have extensive knowledge of all aspects of the purchasing function, including purchasing policies and procedures, negotiations, purchasing law, contract development and administration, inventory management and distribution Certified Purchasing Manager designation preferred Working knowledge of Excel spreadsheet and Word processing software helpful Three to five years of purchasing experience with direct buying responsibilities Minimum two years of supervisory experience or demonstrated ability to manage and supervise people Two to three years of successful contract negotiation and management Must have a basic understanding of accounting Must have data entry experience along with solid keyboard skillsAdditional InformationSupervision given and received Given: Exercises general supervision over Purchasing Staff. Assigns a variety of routine tasks, sets general expectations of results expected within company's policies and procedures. Responsibilities include but are not limited to, interviewing, hiring, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.Received: Works under general supervision of the Culinary Director. Receives continuing or individual assignments according to supervisor's directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.Work Environment and physical demands Ability to be on your feet, kneel and bend for extended periods of time Regularly work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces Must be able to lift, push or pull occasionally up to 50 lbs. individually or with assistanceThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
