Hotel Jerome was added to the National Register of Historic Places in 1986.SUMMARY Act as Front Desk Receptionist, Reservationist, Concierge, & Manager on Duty during overnight hours of operation. Ensure the current day's revenue balances are reconciled, payments to the guest ledger are processed, & the accounts receivables are balanced. Complete the overnight audit process on the front office system per established system guidelines. Balance & verify the summary of daily transactions in the hotel and ensure that the hotel's computer systems are readied for the next day's business. Balance all Front Office Postings and settlements. Assist in the training of any new overnight auditors. ESSENTIAL FUNCTIONS Assist the Front Office Manager in all aspects of the department and ensure service standards are followed.Provides Managerial support forFront Desk, Guest Services and other departments in the daily operational duties for these areas during the overnight shiftReconcile the food and beverage point of sale system, for each outlet, to the PMS system; record and adjust entries.Identify, reconcile, and communicate all Promotions to accurate revenue centersSort & balance all F outlets while identifying and resolving any disputed chargesMaintain complete knowledge at all times of hotel information:All hotel features/services, hours of operationDaily house count and expected arrivals/departuresIn-house Groups - Billing Details Guest issues, events on property, VIPs, BEOs via E-mail Maintain complete knowledge and comply with all hotel and departmental policies and municate with all other hotel departments as necessary.Arrange for guests transportation, dinner/activity reservations whenever necessary. Verify that all departments have posted their revenues Turn hotel date and complete posting of room, tax, and fixed charges.Roll all Expected Arrivals & post No shows to next day according to Jerome billing standardsPerform, Record, & File Daily End of Day Night Audit Reports to:Ensure proper cash reconciliation Ensure all In House Package Reservations are running accuratelyVerify that all complimentary reservations are approved by Management Ensure All Ledgers are in balance Communicate all No Show reservations to appropriate departments for guests follow up Ensure all exempt in-house guests have copy of tax exempt card on fileEnsure all paid outs have proper receipts with guest signatures on file Ensure that are supplements added for all write offs Complete system back-ups as requiredOversee the Front Desk Agent's Daily Cashiering to ensure proper cash reconciliation Maintain Front Desk bank at standard amount $750 with proper denominations available for providing change as neededReview Daily Petty Cash Forms/paid outs to ensure proper usage & management approvalsReview arrivals in advance daily to be familiar with VIP guests, special requirements and potential problems.Ensure all rooms are hard blockedFixed charges have been added daily, and guest requests are met. Communicate all special requests to the appropriate departmentsIf any requests cannot be met, proactively call guest prior to arrival to resolve all issuesAccess all functions of computer system according to established procedures and standards.Answer department telephones within three rings, using correct greeting and telephone etiquette.Check Guests in & out of the hotel according to Jerome standards Perform the Bucket Check nightly to review Front Desk work by auditing:All In-House guests have been checked into systemAll In House guests are paid in full for room & taxAll In House guests have been added Standard Fixed Charges & other misc fixed charges per instructions All Transient Guests have a credit card on file & all credit limits are accurateAll Group Reservations have accurate billing according to group ResumeReservations for specific Online Travel Agencies have been billed correctlyAll Same Day Arrival Reservations have signed/initialed registration card with billing information & newspaper preferences are updated into guest profile.Use generated reports to compile Daily Snap Shot information including business levels, notable guest/group arrivals, events on property, guest advisories, etc. Ensure to run Newspaper report daily & coordinate with Bell Services to ensure timely delivery.Review all Folio Adjustments are performed according to Jerome accounting standards for the following items:Negative Postings (associated with cost or not), Cost Centers, & Promo PaymentsReview all folios for departure reservations for accuracy according to billing instructions Separate initial deposit with room/tax from incidentals Confirm method of payment when closing out guest accounts. Inquire about hotel stay making any notes on reservation regarding issues or preferences. Negotiate compromise or adjust bill to compensate issues. Identify and resolve all Non-zero (open folio) guest accounts nightly. Follow up with appropriate departments. Make reservations outside of hours, perform walk -ins, perform up sells whenever possible Maintain knowledge of all promotions, packagesHandle guest complaints or problems immediately, ensuring guest satisfaction. Communicate all of the above to management to ensure communication to all necessary departments with specific reporting forms. Clearly and pleasantly communicate in English, both verbally and in writing, using correct spelling and grammar, with guests, co-workers and management to their understanding.Use guest's name effectively as a signal of recognition, but discreetly.Closes interactions with final appreciative or anticipatory remarksUse good judgment and maintain discretion and diplomacy while performing job duties.Promote positive relations with guests and between hotel departmentsEnsure completion of all other duties as assigned/delegated by management.Be completely familiar with all Jerome emergency policies to remain prepared in the event of an emergency.QUALIFICATIONSMinimum of 1 year previous proven supervisory experienceGuest Services experience required, 4-5 Star resort experience preferred. Previous Front Office, Night Audit, or Accounting Experience RequiredStrong Mathematical & Financial skillsExtensive knowledge of Microsoft Programs including but not limited to Excel, Outlook, & WordExtensive written and verbal communication skillsExtensive multi-tasking, problem solving, and follow through skills Highly organized, results-oriented with the ability to be flexible and work well under pressure WORKING CONDITIONS:Overnight Shifts 11 pm - 7:30 amMost tasks are performed indoors with moderate temperature.PHYSICAL DEMANDS:While performing the duties of the job, the Team Member is required to:May be required to stand for a total of 8 hoursReach with hands and arms, stoop and bend, speak and hear.
