Job Title: Accounting Technician & Accounting Technician

Department: Finance

Classification: Non-Exempt

Hiring Range: $23.53/hr - $26.55/hr

Salary Range: $23.53/hr - $35.59/hr

Position Summary: Responsible for processing all vendor payments for the City, reconciling AP module, and performing a variety of routine accounting duties consistent with the organization's values and mission statement.

Supervision Exercised and Received: Position works under the direct supervision of the Accounting Manager.

Essential Job Functions:

Technical Accounting Functions:
--- Manage, coordinate, review for accuracy and approve invoices for payment.
--- Reconcile vendor statements to the invoices outstanding and invoices paid.
--- Process food tax refund checks annually.
--- Process and mail accounts payable checks on a weekly basis.
--- Void and place stop payment on all checks that are issued in error, lost or outdated.
--- Reconcile Accounts Payable month end balances. Reconciles retainage for capital projects to ensure appropriate withholdings and approved release of funds when completed.
--- Prepare, process, and reconcile annual vendor 1099 reports by deadline each year.
--- Order appropriate IRS forms. Print and mail vendor 1099 forms.
--- Review and approve purchasing card reports and expense reimbursement reports.
--- Process expense reports for payment weekly.
--- Create monthly payables entries for FSA, HSA & HRA bank account.
--- Reconcile corresponding FSA, HSA & HRA general ledger accounts.
--- Reconcile general ledger accounts for purchsasing cards.
--- Reconcile general ledger asset/liability accounts for Wheeler Opera House.
--- Create and enter recurring journal entries needed for accurate monthly financial statements.
--- Train COA admin new hires on proper payables procedures.
--- Train COA staff on travel & expense reimbursement reporting procedures.

Minimum Qualifications:

Education: Associate's Degree.
Experience: Two years of experience with accounting, bookkeeping, accounts payable or administrative duties.
Technical Knowledge: Must be proficient in the following areas: Microsoft Outlook Email, Excel, and a basic understanding of computers and online computer-based technology applications, which includes accessing web based platforms. Strong attention to detail, as well as strong finance mathematics skills.
Licenses & Certifications:
Must possess a valid Colorado Driver's License or be able to obtain one within 30 days of start date.

NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge and skills as determined by the City of Aspen may be substituted for the requirements above.

NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
Position Type and Work Hours:
--- Regular full time, hours may vary with workload.
--- Evenings/Weekends may be required depending on department needs and special projects.

Work Environment:
--- Indoors: Office environment.
--- Outdoors/Off-Site: Meetings, trainings, and site visits at a variety of city facilities and areas.

NOTE: Initial training and introductory period are 100% on-site. Once complete, employee may be allowed a flexible work agreement for up to 2 days/week of working remotely.
